This Privacy Policy explains how Lead Manager CA (“we”, “us”, “our”) collects, uses, stores, and protects personal information when you use the Lead Manager CA application (the “App”).
IMPORTANT:
- Access to the App requires acceptance of BOTH this Privacy Policy and our Terms of Service.
- If you do not agree, do not create an account or use the App.

1) WHO WE ARE (ACCOUNTABILITY)
Lead Manager CA is a Canadian company based in Ontario.
We are responsible for personal information under our control.

2) WHAT WE COLLECT
A) Account information you provide
- Name (or display name)
- Email address
- Phone number
- Password (handled by our authentication provider; we do not store your password in plaintext)
B) Customer Data you input into the App (your CRM content)
This may include (depending on what you enter):
- Lead names, phone numbers, emails
- Notes and communication history you choose to record
- Address/city/province/postal code
- Optional fields such as employer/occupation, and income-related fields if you choose to use them
C) Technical and usage data
We may collect or receive technical data such as:
- App usage events (feature usage, timestamps)
- Device/app diagnostics and crash logs
- Security and audit logs (e.g., acceptance of Terms/Privacy Policy, login timestamps)
Some technical data may include identifiers such as IP address depending on the systems involved.
3) WHY WE COLLECT IT (PURPOSES)
- Create and manage your account
- Provide core CRM features (store, search, organize, and export your Customer Data)
- Secure the App (fraud prevention, abuse prevention, audit logging)
- Maintain and improve reliability (debugging, crash diagnostics, performance)
- Provide support and respond to requests
4) CONSENT (HOW YOU AGREE)
We rely on your consent, and where applicable other legal bases, to collect/use personal information.
You provide consent by:
- Accepting this Privacy Policy and the Terms of Service during sign-up
- Using the App after being presented with this Policy
You may withdraw consent by stopping use and requesting deletion of your account/data (see Section 9).
5) WHO WE SHARE INFORMATION WITH
We do not sell your personal information.
We may share information with service providers who help us operate the App, such as:
- Cloud hosting and database providers (e.g., Google Firebase/Firestore)
- Authentication providers (e.g., Firebase Authentication)
- Crash reporting/diagnostics providers (if enabled)
- Payments providers (e.g., Stripe) if you use paid features
- Optional AI processing providers if you use AI features (only for the content needed to provide that feature)
Service providers are permitted to process information only to provide services to us, and we use contractual and technical safeguards where appropriate.
6) WHERE YOUR DATA IS STORED / CROSS-BORDER PROCESSING
Our cloud database may store and process data on servers located in the United States.
This means your information may be subject to U.S. laws and may be accessible to U.S. authorities under lawful process.
We remain responsible for protecting the information we control and use safeguards designed to protect confidentiality and integrity.
7) SAFEGUARDS (SECURITY)
We use administrative, technical, and organizational safeguards appropriate to the sensitivity of the data, which may include:
- Encryption in transit (network encryption) and encryption at rest by our cloud provider
- Access controls and least-privilege for team access
- Logging and monitoring for abuse and reliability
- Secure authentication controls (and optional 2FA in the future)
No system is 100% secure, but we work to prevent unauthorized access and reduce risk.
8) DATA RETENTION
We keep personal information only as long as necessary for the purposes described above, unless a longer period is required or permitted by law.
Current retention approach:
- If you delete your account, we delete or de-identify associated account data and your Customer Data, subject to limited technical constraints and legal requirements.
- If an account is inactive for 2 years, we may delete it and associated data as part of our retention policy.
Note: Some records may be retained for security, fraud prevention, or legal compliance (e.g., limited audit logs).
9) YOUR CHOICES AND RIGHTS
Depending on your jurisdiction and applicable law, you may have rights to:
- Access your account information
- Request corrections
- Request deletion
How to exercise rights:
- Deletion: Use in-app deletion tools (e.g., “Delete account”) where available.
- Access/correction questions: Email support@leadmanager.ca.
10) BREACH RESPONSE
If a breach of security safeguards creates a real risk of significant harm, we will take steps consistent with applicable Canadian requirements, including notifying affected individuals and reporting where required.
11) CHANGES TO THIS PRIVACY POLICY
We may update this Policy from time to time. If changes are material, we will present the updated Policy in-app for acceptance. If you do not accept the updated Policy, you may not be able to continue using the App.
