Glossary
The words that turn up in the app and on the lot, explained in one line each — from a lead and a category to LTV and negative equity.
Two kinds of word turn up in this job: the ones the app uses, and the ones the business uses. Here are the common ones. The app has a fuller list under Glossary in Settings, searchable, with the finance terms in more depth.
Words the app uses
- Lead
- One person who might buy a car, and everything you know about them: their details, your notes, the calls and texts.
- List
- One of your three piles of leads — Leads, Active Leads and Archived Leads. You can rename all three.
- Category
- A column you sort leads into, named by you. Most stores use something like Uncontacted, Contacted and Sold.
- Tag
- A small coloured label on a lead — Hot, Trade-in, Finance — that you can filter by.
- Lead source
- Where a lead came from: your website, a listing site, a walk-in, a referral.
- Interaction dot
- The coloured dot beside a lead’s name. It shows how long it has been since you last touched that lead, so a list can be read at a glance.
- Template
- A saved text or email you send often, with blanks the app fills in from the lead.
- Variable
- One of those blanks — the lead’s name, their phone number — written in curly brackets inside a template.
- Consent
- A record that the lead agreed to be texted: what they agreed to, and when you captured it. Nothing texts a lead without it.
- Opt-out
- A lead replying STOP. Texting to that person stops until new consent is recorded.
- Worksheet
- The deal maths on a lead: price, fees, tax, the loan terms, and what the payment works out to.
- Inventory
- The store’s vehicles, shared by everyone on the Team plan and looked up by VIN.
- Garage register
- A second register of vehicles beside inventory, which you can export to a spreadsheet.
- Task board
- To Do, In Progress and Done cards with assignees and due dates. Everyone has a personal one; a store on Team also has a shared one.
- Seat
- One person’s place on a store’s Team plan. Five come with the plan.
- Sponsor
- The person whose subscription the store runs on. Only they can buy more seats.
- Allowance
- How much of something that costs money to run — texting, AI, photo work — your plan includes each month. Usage & Limits shows what is left.
- Duplicate
- The same person entered twice, usually because they came in through two channels. The app can find these and merge them.
Words the business uses
- Speed-to-lead
- How fast you answer a new lead. It is the number most strongly tied to whether you sell to them at all.
- Touch
- One contact with a lead: a call, a text, an email.
- Disposition
- What came of a contact — reached, left a message, booked, not interested.
- Warm lead
- Someone who has replied and is engaged.
- Cold lead
- Someone who has not replied yet, or has gone quiet.
- Nurture
- Keeping in touch with a lead who is not ready yet, so you are the one they call when they are.
- Reactivation
- Going back to old leads who never bought.
- Appointment
- A booked time for the lead to come in.
- Show rate
- How many booked appointments actually turn up.
- No-show
- A booked appointment that did not.
- Trade-in
- The vehicle the customer is handing over as part of the deal.
- Trade equity
- What the trade is worth beyond what is still owed on it. Money in the customer’s favour.
- Negative equity
- The opposite: they owe more on the trade than it is worth, and the difference has to go somewhere.
- Down payment
- Cash the customer puts in at the start.
- Amount financed
- What is actually borrowed once the trade, the down payment and the fees are settled.
- Term
- How many months the loan runs for.
- APR
- The yearly cost of borrowing, as a percentage.
- LTV
- Loan to value: what is borrowed against what the vehicle is worth. Lenders watch this closely.
- Front-end gross
- The profit on the vehicle itself.
- Back-end gross
- The profit on what is sold alongside it — warranty, protection products, financing.
- F&I
- Finance and insurance: the part of the deal after the price is agreed.
- GAP
- Cover for the gap between what insurance pays out on a write-off and what is still owed.
- Booked
- The lender has approved and the paperwork is accepted.
- Funded
- The lender has actually paid the store. This is the one that counts.
- Lien
- A claim registered against a vehicle, usually by whoever financed it. It must be cleared before a clean sale.
- VIN
- The vehicle identification number: seventeen characters, unique to that car. The app looks vehicles up by it.
